Please read the following declaration carefully and ask any questions you may have prior to purchasing products and services from The Hot Mess Studio.

Scope of Practice

The form of health care provided by The Hot Mess Studio (aka. Rebecca Vinson)  is based on Functional/Complementary/Lifestyle Medicine and other supportive principles and practices. Treatment modalities include:

  • Nutritional Medicine
  • Physical Therapy (Exercise)
  • Remedial Massage
  • Dietary changes
  • Lifestyle modification
  • Counselling
  • Herbal Medicine
  • Health Coaching

Your practitioner, The Hot Mess (aka. Rebecca Vinson) holds the following qualifications:

  • Graduate Certificate in Service Coordination and Rehabilitation
  • Graduate Diploma in Rehabilitation Studies
  • Advanced Diploma of Nutritional Medicine
  • Diploma of Science
  • Diploma of Remedial Massage
  • Certificate IV in Massage Therapy Practice
  • Certificate III/IV in Fitness
  • Wellness Coaching Level 1

We require your consent to collect personal information regarding yourself.  Please read the following information carefully.

The Hot Mess Studio (aka. Rebecca Vinson) values, prioritises and respects the privacy of the individuals choosing to use our service. The Hot Mess Studio (aka. Rebecca Vinson) is committed to protecting the privacy of all clients/patients and complying with the Privacy Act 1988 (Cth) (Privacy Act) and other applicable laws and regulations. 

This Privacy Policy described how The Hot Mess  Studio (aka. Rebecca Vinson) collects, holds, uses and discloses personal information and how The Hot Mess Studio (aka. Rebecca Vinson) maintains the quality and security of personal information.

What is personal information?

“Personal information” means any information or opinion, whether true or not, and whether recorded in a material form or not, about an identified individual or an individual who is reasonably identifiable. In general terms, this includes information or an opinion that personally identifies you either directly (e.g. your name) or indirectly. 

Collection of personal information

The Hot Mess Studio (aka. Rebecca Vinson) is required to collect personal information for the primary purpose of providing appropriate and quality health care.  The Hot Mess Studio (aka. Rebecca Vinson) requires you to provide us with your personal details and full medical history so that we may properly assess, treat and be proactive in your health care needs.  This means we will use the information you provide in the following ways:

  • Administrative purposes in running our practice.
  • Billing purposes, including compliance with health insurance commission requirements.
  • Disclosure to others involved in your health care, including treating doctors, specialists, allied health and complementary medicine treatment providers and other health and wellbeing supports outside this practice.
    • This may occur through referral to other treatment providers or for medical tests and reports, for results returned to us following the referrals, and for collaboration between your treating practitioner team to coordinate your care.
  • Emergency situations whereby medical officers/hospitals require access to patient notes for treatment purposes.

The Hot Mess Studio (aka. Rebecca Vinson) may also collect information from multiple stakeholders including other treatment providers involved in your care. Information collection may occur via verbal discussion with relevant parties, written information (emails), or via professional reports (medical). Information collected may include sensitive information, which is a category of personal information.

This includes:

  • Name, date of birth, mobile number, email address and postal address. 
  • Your medical and other health information and details about your support needs. 
  • Any other information pertaining to your health care needs. 

Other sensitive information includes information or opinion about such things as an individual’s racial or ethnic origin, gender identification, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record, or health information. 

The Hot Mess Studio (aka. Rebecca Vinson) will only collect sensitive information that is reasonably necessary for the services requested / being delivered and/or for which the you as the client/patient has consented, or if it is required by law. 

Use of Artificial Intelligence for Note Taking

The Hot Mess Studio (aka. Rebecca Vinson) uses Heidi Healthcare, an artificial intelligence medical scribe software to generate consultation notes. Security of personal information

The Hot Mess Studio (aka. Rebecca Vinson) engages in activities to ensure that client/patient personal information is stored in a manner that reasonably protects it from misuse, loss, unauthorized access, modification, or disclosure. 

The Hot Mess Studio (aka. Rebecca Vinson) utilises computer-based software for all aspects of client/patient management. All relevant client/patient information is stored in a cloud-based medical practice management system (including file notes and reporting). This system is compliant with the Australian Government regulations around data security. Access to client/patient information is provided to key personnel related to the management of the file (Treatment Provider, Manager, Administrator) who need reasonable access to complete relevant tasks related to the functions of healthcare practice. 

The Hot Mess Studio (aka. Rebecca Vinson) take all precautions to ensure the security of our data. Implementation of security measures such as firewalls, antivirus software and encryption to protect data from any potential threats to access. Halaxy (the core program used to manage client/patient data) also has an identity management solution tracking access and logging individual activity. This feature allows for the ability to monitor all activity and detect and respond to any anomalies early. 

In the case of a data breach, the appropriate-if necessary- response and rectification with be facilitated. This includes reporting any breach of privacy to relevant parties in writing within one (1) business day of the breach occurring.  

The Hot Mess Studio (aka. Rebecca Vinson) follow strict process with regards to any potential breach. Completion of a Privacy Breach Register and Privacy Breach Report are completed and held according to government requirements.  

Data retention 

As per government requirements, The Hot Mess Studio (aka. Rebecca Vinson) maintains client/patient records for a minimum period of seven years. 

Access and correction of personal information 

As per the Freedom of Information Act (1982), clients/patients have the right to access and review their personal information held by The Hot Mess Studio (aka. Rebecca Vinson). At any point, clients/patients can request amendments or corrections to their personal information if it is inaccurate, incomplete, or outdated. 

If a client/patient wishes to access or change their Personal Information, a formal request in writing can be submitted to The Hot Mess Studio (aka. Rebecca Vinson) via email (hotties@thehotmess.studio). Please note that records not produced in this practice may not be able to be released without permission from the author. 

Complaints 

Clients/patients are provided with information regarding the ability to lodge a complaint regarding any concerns or potential breaches related to privacy and confidentiality to the Rebecca Vinson. Contact details are as follows:

Payment, Refund and Cancellation Policy

You are financially liable for all products & services provided by The Hot Mess Studio (aka. Rebecca Vinson).

Payment for products & services

  • Payment for all services is required prior to commencement.
  • Payment for all products is required prior to dispensing/shipping.
  • Refunds are not available for change of mind.
  • Product refunds may be available where a product is deemed as contraindicated. The provision of a refund where a product is deemed contraindicated is at the discretion of The Hot Mess Studio (aka. Rebecca Vinson) and is based on information available to you and provided by you prior to purchase in consideration of the Informed Consent & Client/Patient Contract outlined below.
  • Product refunds are available where a product is found to be faulty.
  • Credit card details are collected as part of the client intake process, are stored securely in Halaxy, our practice management software, and are processed automatically at the commencement of the scheduled service.
  • Should you not wish to provide credit card details, payment in full is required prior to commencement of any service. Please contact us to discuss alternate payment methods. 

Appointment reminders

  • The Hot Mess Studio (aka. Rebecca Vinson) sends an email appointment reminder 48 priors to a scheduled appointment. 
  • The Hot Mess Studio (aka. Rebecca Vinson) sends an SMS appointment reminder 24 hours prior to a scheduled appointment.
    • We request you reply to this reminder to confirm your attendance. 

Appointment cancellations

  • Appointment cancellations must be received at least 24 hours prior to your scheduled appointment. 
  • Cancellations made after this time will result in a cancellation fee of 100% of the scheduled service fee. 
  • For appointments not paid in advance, this cancellation fee is payable prior to booking your next appointment. 

Informed Consent & Client/Patient Contract
 

By signing this form you declare that:

1. You have read and understand the qualifications held by your practitioner, The Hot Mess (aka. Rebecca Vinson), and the scope of practice and services provided by The Hot Mess Studio (aka. Rebecca Vinson).

2. All information you have provided to your practitioner, The Hot Mess (aka. Rebecca Vinson), about your current health condition, both in your intake forms and during any subsequent communication (SMS, email, social forums, coaching apps), is true and correct to the best of your knowledge.

3. You agree to inform your practitioner, The Hot Mess (aka. Rebecca Vinson), of any changes to your current medical/health condition, including any new medications, herbs, vitamins, supplements etc you are taking, and any new injuries or diagnosed/undiagnosed medical conditions as soon as these changes occur.

4. If you are female, you agree to inform your practitioner, The Hot Mess (aka. Rebecca Vinson)  immediately if you fall pregnant, suspect that you are pregnant, plan to fall pregnant or if you are breastfeeding.

5. You understand that:

  • Your practitioner, The Hot Mess (aka. Rebecca Vinson),is not a medical doctor and that the information provided to you is in no way intended as medical advice, or a substitute to medical counselling and the information supplied should be used in conjunction with the guidance and care of your physician. 
  • You are at liberty, and encouraged, to seek or continue medical care from a physician, or another health care provider.  
  • Your practitioner, The Hot Mess (aka. Rebecca Vinson), does not and has not suggested or advised you to refrain from seeking care from or following the directions of another health care provider. 
  • Your practitioner,  The Hot Mess (aka. Rebecca Vinson), will answer all questions and explain all treatments to the best of their ability and, as with any form of treatment, results and lack of side effects cannot be guaranteed.  
  • Even the gentlest therapies may cause complications in certain physiological conditions such as pregnancy, lactation, very young children, very elderly patients, those on multiple medications, or those with specific diseases such as heart, liver, kidney or diabetes. 
  • Despite all precautions on behalf of your practitioner, The Hot Mess (aka. Rebecca Vinson), there are risks of side effects / complications / illness occurring as a consequence of the use or misuse of the treatments prescribed by your practitioner, The Hot Mess (aka. Rebecca Vinson). 

6. You do not expect your practitioner, The Hot Mess (aka. Rebecca Vinson), to be able to anticipate all risks or complications.

7. You expressly assume such risks and waive, relinquish and release any claim which you may have against your practitioner, The Hot Mess (aka. Rebecca Vinson) or their affiliates / employees / contractors as a result of any future injury, illness, liability, loss or damage incurred in connection with, or as a result of your use or misuse of prescribed treatments or advice. 

8. You have read, understand and agree to the terms set out in the Privacy Policy above, and you understand a health a health record will be kept of the information disclosed in your consultations and the treatments provided to you.  

10. You are not obliged to provide any information requested, but failure to do so might place you at risk of treatment complications, and compromise the quality of the health care and treatment given to you.

9. You are financially liable for all services provided at The Hot Mess Studio (aka. Rebecca Vinson), and you have read, understand, and agree to the terms set out in the Payment and Cancellation Policy above. 

10. You hereby authorise and consent to treatment, intend this consent to cover the entire course of treatment you receive from your practitioner The Hot Mess (aka. Rebecca Vinson).

11. You understand you may revoke this autorisation for treatment at any time in writing.
